Privacy Policy of Toronto North Probus

General:

The Toronto North Probus Club (“the Club”) collects personal information from each of its members (“the member”) and from all applicants for membership. That information typically consists of a name, address, phone number and email address. It may also consist of photos (either one for member identification or as a participant of a Club function) and any other information that the Club may request, require or acquire from time to time. That information is stored and made accessible by the Club in various ways including a Member Directory that is available and accessible on the Club website solely to all other members.

The manner in which all personal information or any website information about Club operations is managed or treated by the Club is the subject of its Privacy Policy.

Club Rights and Obligations

The Club shall not disclose any personal information of a member or of any membership applicant to any other organization (other than perhaps PROBUS Canada, if necessary) or to any other third parties outside the Club without the consent of the member.

Only members shall be allowed to access member information on the Club website. 

Exceptions to this restricted access may be made in exceptional circumstances, as determined by the Management Team that an exception should be made in the best interests of the Club.  Additionally, the Web Team may determine, subject to Management Team approval, that it is reasonable and in the best interests of the Club to allow view-only access to a non-member for purposes of a purely technical nature for the improvement of the website or the sharing of technical website expertise with other PROBUS clubs.

The Club may override or disable any privacy or restrictive settings or selections of a member if it is determined that any such setting undermines or limits the goals or effectiveness of the Club as a purely social club. For example, the Club may require the disclosure of phone numbers to other members or the display of member photographs when deemed appropriate. The Club may disable any member settings or selections that tend to restrict or obscure relevant communications within the Club such as one that may hide a registrant’s identity.

e Privacy Policy shall always be posted on the Club website. It is subject to change at any time by the Management Team and any such changes or updates shall be posted on the Club website as soon as possible.

Member Rights and Obligations

A member consents to the collection of any personal information requested or acquired by the Club and to the treatment or management of that information by the Club in accordance with its Privacy Policy.

A member can request and select that one’s address and/or phone number not be included in the member’s directory unless and until the Club may decide that such exclusion is not to be allowed in the best interests of Club functioning. A member may establish personal privacy

settings or defaults on one’s member profile page but that is subject to the right of the Club to override those settings when deemed necessary for the better functioning or best interests of the Club.

A member shall have access to the Club website only by way of having a distinctive personal email address and password and shall not allow others to share that access. A member shall not allow any non-member to access the Club website.

Providing a distinctive operating email address is a condition of being a member. By joining the Club and providing an email address, a member agrees and consents to receive messages electronically or otherwise from the Club and to receive whatever such messages that the Club deems appropriate.

A member shall not disclose to anyone who is not a member any personal information of another member or membership applicant that is only available on the website or other Club records. The membership directory is the sole property of the Club, and no member shall use or disseminate it in whole or part without express prior permission of the Club and shall not use it for any commercial or private purposes or for the promotion of any non-Club activity, enterprise or purpose.

Any member registering for an event consents to the sharing of that registration information with the other registrants for that event and, where reasonably required, with the event host, and further consents to provide a phone number or other contact information when requested by the organizer or convenor of that event.  Likewise, a member registering for an interest group consents to the sharing of name and email address with other members of the interest group.

Anyone who joins the Club or renews membership in the Club is deemed by such action to accept its Privacy Policy and its implementation by the Club. All members are bound by the Privacy Policy and are expected to be fully aware of its content.

Included Elements of the Privacy Policy

The Club collects from the member and from each applicant for membership personal information that the Club may request, require or acquire from time to time.

The Club collects all such personal information for several purposes, including to:

(a)  maintain a useful list of its members and those applying to be members;
(b)   have necessary and accurate contact information for those persons; and
(c)   be able to fully implement, promote and maximize the purpose and goals of the Club.

The goals of the policy regarding personal information are to:

(a)  safeguard the personal information of members and to ensure that such is only used for the purposes of the Club;
(b)   shelter from outside third parties selected information about the operations, strategy and agenda of the Club; and
(c)   ensure that any personal information is used and regulated in such a way as to maximize the primary goals of the Club as a social club.

The Club is a voluntary, non-profit social club for retired and semi-retired persons who are invited to join for the purposes of socialization through active contact with fellow members and through participation in the many socializing opportunities offered.  The Club exists to provide a purely social experience for its members at minimal cost.

Membership is predicated on one’s express willingness and receptiveness to fully participate in the socialization opportunities that the Club offers.

By joining, each member agrees and consents to embrace fully the social nature and goals of the Club and whatever methods that the Club may choose from time to time to promote and maximize socialization, fellowship, contact, communication and information-sharing among its members. Those methods could consist of the mandatory disclosure of phone numbers for ease of communication between members; the mandatory use of photographs for improving either management team, organizer or member recognition and familiarity; or the disabling of any member website selections that might be seen to limit participation or the exchange of information within the Club.

By virtue of the non-profit, non-commercial, private and purely social nature of the Club, government legislation such as the Personal Information Protection and Electronic Documents Act (PIPEDA) does not apply to the Club. 

The Club can set its own rules regarding privacy and the use of personal information. It is a condition of Club membership that every member is consenting to all rules of the Club and that every member agrees to accept and follow those rules.

Member Communication

The Club relies on emails to communicate with its members. Providing your email address is a condition of becoming a member. By joining the club and providing your email address, you agree to receive messages electronically.
